Setting up your calendar

What this is

One calendar with every due date from every course: assignments, quizzes, labs and exams, pulled from Moodle and Outlook automatically, plus anything you add by hand. Tick things off as you finish them, and get one email each morning with what is due.

It never logs into your school account and never sees your password. You copy two private calendar links out of Moodle and Outlook once. After that the server checks them every 30 minutes on its own. Setup takes about five minutes.

Step 1 — Moodle (assignment, quiz and lab due dates)

  • Sign in to Moodle and open Calendar.
  • Scroll to the bottom and choose Import or export calendars → Export calendar.
  • Pick All events and the longest time span offered, then press Get calendar URL.
  • Copy the link it shows. It is long and starts with https://moodle.uleth.ca/calendar/export_execute.php?…
  • Back on your calendar page press Add Moodle link on the setup guide (or + Add feed and choose Moodle), paste the link, and press Save.

The link works like a password to your Moodle calendar: it is stored encrypted and is never shown again after you save it. If you ever think someone else has it, delete the feed here and export a new link in Moodle.

This link is private to you — it shows your own calendar. A friend should copy their own link. If the same due date reaches you through two links (say Moodle, and an Outlook or Google calendar that already includes Moodle), it is shown once, and its details say where else it came from.

Step 2 — Outlook (class times and anything on your school calendar)

  • Sign in to Outlook on the web with your school account and open Settings → Calendar → Shared calendars.
  • Under Publish a calendar, pick your calendar and Can view all details, then press Publish.
  • Copy the ICS link (not the HTML one). If the publish option is missing, your school has switched it off — skip this step; Moodle carries the due dates.
  • On your calendar page press Add Outlook link on the setup guide (or + Add feed and choose Outlook), paste the link, Save.

Outlook is mostly your timetable. Class times show up when you pick Everything in the Next-up list; only things that read as an exam, quiz or assignment count as due dates.

Step 3 — Anything with no link (Crowdmark, a syllabus, something said in class)

  • Press + Add due date on your calendar page.
  • Give it a name, the course, the date and, if there is one, the time. Leave the time blank for an all-day deadline.
  • Choose where it came from so it gets the right colour, and Save.

Crowdmark has no calendar link to copy, so its assessments go in this way. Tip: the emails Crowdmark sends you carry the due date — add it the moment the email arrives and it is done.

Many dates at once: press Paste dates, paste part of a syllabus, a course outline or an email, and press Find dates. The dates are found on your own device (the text is not sent anywhere). Check each row — fix a title, a date or a time, untick anything you do not want — then Add the ticked dates. A PDF works too: open it, select all, copy, paste.

Campus dates

Dates that matter to everyone — the add/drop deadline, reading week, fee deadlines, events from posters and MyExperience — appear on every calendar under a Campus chip. They are read-only and you can hide the chip. Campus deadlines can also be included in your morning email, in a section of their own, from the Morning email card.

Step 4 — The morning email

  • On your calendar page find the Morning email card.
  • Switch it to On, choose how far ahead it should look (exams get their own, longer setting), and press Save.
  • Press Send me a test to see exactly what it will look like. If it lands in your junk folder, mark it as not junk once.

It arrives at 8am, only on mornings when something is due, and only to your account's email address once that address is verified. If the card says your address is not verified, press send a new verification link on the card and click the link in that email (check junk too). Ticked-off items never appear in it.

If something is wrong

  • A feed says FAILED. The link has usually expired or was pasted incompletely. Delete the feed, export a fresh link (Step 1 or 2), and add it again.
  • Nothing shows up from a feed. Press Sync now. If the feed says OK: 0 events, the export in Moodle was set to a time span with nothing in it — export again with All events.
  • A time is an hour off. Check the note under the Feeds card; the calendar corrects for a known clock issue on the server and will say so.
  • A date you deleted came back. Only hand-entered dates can be deleted here; a date from Moodle returns on the next sync. Tick it off instead, or fix it in Moodle.
  • You stopped getting the morning email. Open the Morning email card: it says whether it is on and which address it goes to. It is not sent on mornings with nothing due.

Support needs you to be signed in: sign in and open Support.

Press Support on your calendar page. Community is for questions and ideas anyone can see; Support is private between you and the person who runs this. If a feed is failing, say which one and what the Feeds card shows — never paste the link itself.
